Under the leadership of the department director and assistant director, the Senior Administrative Assistant responsibilities include, but are not limited to, answer and direct phone calls, organizing and schedule meetings and appointments, receiving and directing visitors, filing and faxing. Software skills are required, as well as Internet research abilities and strong communication skills. Performs administrative and office support activities like developing office procedures, managing and organizing departmental procedure and safety manuals, coordinating conference rooms for meetings/presentations, preparation and maintenance of standing purchase orders, coding and processing invoices, and operational budget summary. S/he interacts with many departmental directors, medical staff, supervisors and peers in a positive, service-oriented manner. Must be detail oriented and a self-starter who also works well with a team. Must be flexible to meet the needs of the department and of the management. Ability to multi-task and handle interruptions and multi-directional work requests is a necessity.


· Minimum 3 years experience in an administrative assistant/clerical position.

· Experience in organizing and maintaining computer files and drives.

· Attention to detail, accuracy, confidentiality and follow through.

· High level proficiency in MS Word, Excel, Outlook and PowerPoint.

· Excellent time management skills and ability to multitask and prioritize work.

· Excellent communication/ interpersonal skills, both verbal and written.

· Intermediate to advanced knowledge of computer functions and programs.

· Experience with budgets, financial spreadsheets, and financial reporting.

· Experience and knowledge of office equipment.

Preferred Experience:

· Knowledge of medical terminology and guest relations.

· Reception experience with diverse responsibilities.

Competent in Microsoft Word, Excel, and Visio.


High school diploma, G.E.D., or equivalent work experience in related field. College or business level courses as a certified administrative professional in business or computer science preferred.


Microsoft Office Suite certification preferred
